How do I see all contacts in an automation?

There are three ways to view a list of contacts that entered a particular automation. In this article we will walk you through each method and explain what you can expect to see in each of the results.

Option 1: Automation workflow builder

This option is accessed directly from the automation builder and will display a list of contacts that entered your automation. Aside from being the simplest approach, you may want to use this method if you are viewing the automation workflow, and wish to quickly view a list of contacts that have entered it so far.

To get started:

  1. Navigate to the Automations overview page.
  2. Locate the automation.
  3. ClickEdit.”

  4. Click the “View Contacts” button located located on the top right of the screen.

A list of all contacts that entered your automation will be displayed. This will include contacts that are currently in your automation and that have ended your automation. However, If a contact has entered your automation multiple times, they will only be displayed once in this list. This list will not specify duplicate automation entries made by contacts. For that information, you will need to view the Contact report for the automation (see next section).

From this page, you can:

  • Export the list of contacts by clicking “Export.”
  • Send a 1:1 email to any of the contacts by clicking “Email.”
  • Add a Deal, Task, or Note to any of these contacts by clicking the down caret next to the edit button.
  • Apply changes to one, some, or all contacts using the Bulk Editor by clicking the checkbox next to the contact(s) and clicking “Edit.”
  • Click a contact’s name to view their contact profile page. To see their path in the automation, simply click the automation name in the Info box then click “View.”

Option 2: Automation reports

This option is accessed from the Reports page in your account. The information and how it is displayed here will be different than the first method outlined above. Here you will see a list of entries made by contacts and will include multiple entries made by contacts (if any).

To get started:

  1. Navigate to the Reports overview page.
  2. Click “Automation” located on the left side bar.

  3. Locate the automation.
  4. Click the automation name to pull up its report.

  5. Click “Contacts” under the Automation heading on the left side bar.

A list of all entries made by contacts for this automation will be displayed. This will include contacts that are currently in your automation and that have ended your automation. This list will not specify when an entry was made, or when the automation was completed. However, the report will display the completion status (Complete or Incomplete) for each entry:

From this page, you can:

  • View total entries, completion rate, completion rate increase, and average completion time listed at the top of the page.
  • View top performing tags, lists, and completion times. You can click any of these options to filter entries.
  • Export the list of contacts by clicking “Export” located on the top right of the application.
  • Send a 1:1 email to any of the contacts by clicking “Email.”
  • Add a Deal, Task, or Note to any of these contacts by clicking the down caret next to the Email button.
  • Click a contact’s name to view their contact profile page. To see their path in the automation, simply click the automation name in the Info box then click “View.”

Option 3: Advanced search

This option is accessed from the Contacts overview page. With an advanced search, you can either save your search conditions for later, you can save them as a segment, or you make bulk changes to the contacts in the search results using the bulk editor.

To get started:

  1. Navigate to the Contacts overview page.
  2. Click the Search bar.

  3. Click “Advanced search” located in the dropdown.

  4. Click the condition dropdown and select “Actions” by clicking it.

  5. Scroll down until you see the “Has entered automation” option.
  6. Click the “Has entered automation” option to select it.

  7. Click into the value field to pull up a list of automations then click the automation name.

  8. Click the “Search” button.

This will include contacts that are currently in your automation and that have ended your automation. If a contact enters your automation multiple times, they will only be displayed once in this list.

From this page, you can:
