The Field Breakdown report is a dashboard that presents field values in a meaningful way. The report shows a breakdown of values captured for account, contact, and deal fields. Depending on the field selected, the report will display a table, pie chart, or bar chart. You can use this report to identify customer trends and patterns.

How to access the Field Breakdown report

To access the Field Breakdown report, there are two methods:

  1. Click "Reports" on the left menu. Then click "Contacts" > "Field Breakdown Report."
  2. Click "Contacts" on the left menu. Then "Field Breakdown Report."

The Field Breakdown report will load. Contacts, phone, and last 7 days will be selected in the filters at the top by default.

How to use the Field Breakdown report

The top of the report includes different filter options that you can use to see field breakdowns by. 

They include:

  • Category
    You can select to view fields by Accounts, Contacts, or Deals.
  • Field
    This filter will display a dropdown of standard and custom fields for the selected category. Note that Text area (allows multiple lines of text) is not available with this report.
  • Created date
    You can use this to filter contacts, deals, or accounts that were created today, last 7 days, last 30 days, last 90 days, or set a custom date range.
  • Deal Status
    Available for Deal fields only. You can filter deals that are Open, Won, or Lost.
  • Measure
    Available for Deal fields only. You can select whether to view the breakdown report by Count (number of instances) or Values (selected currency value of a deal)

To use these filters, click the dropdown then click the option you wish to work with. Data will start to display right away. Note that you can only view one field at a time.

A visual representation of what you selected will display and data will refresh every hour.

The field type you select in this report determines how information is displayed:

Check box(es) Pie chart

In the example below, we selected "Accounts" for the category, "Annual Revenue" for the field, and set a custom date range.

Because the field we selected is a money field, the breakdown is displayed as a pie chart:

How to export data from the Field Breakdown report

You can export data from the Field Breakdown report in order to share it with your team and stakeholders. 

1. Hover your mouse over the report. You'll see three vertical dots appear to the top right.

2. Click the three vertical dots then click "Download Data."

3. In the modal popup, click the "File Format" dropdown and select the format you wish to download the data into. You can choose from CSV, TXT, Excel, JSON, HTML, or Markdown file.

4. Click the "Download" button.

Drill down to view and download chart details

You can drill down into bar and pie charts to view and download a list of accounts, contacts, or deals make up that specific portion of your chart.
