How do I see all contacts in an automation?

Seeing how many contacts that either entered or are currently in an automation helps you gauge activity. In addition, you can view a list of contacts that have either entered or are currently in your automation. You can use this information to create segments of contacts, apply edits to contacts with the bulk editor, and more. 

How to view all contacts that are currently in an automation from the Automations overview page

You can view a list of contacts that are currently in an automation by clicking the Contact Stat icon located on the Automations overview page.

Please note that this list will not show which contacts made duplicate entries into your automation.

To get started with this method, follow these steps:

  1. From the Automations overview page, hover your mouse over the blue Contact Stat icon.

  2. A Contact Stat modal will appear and display the number of contacts currently in your automation. Click the "Contacts currently in the Automation" link located inside the modal.

    You will be directed to a list of contacts that are currently in your automation:

From this page, you can:

  • Export the list of contacts by clicking the elipsis button at the top right of the page and selecting “Export”
  • Apply changes to one, some, or all contacts using the Bulk Editor by clicking the checkbox next to the contact(s) and clicking “Edit”
  • Click a contact’s name to view their contact profile page. To see their path in the automation, click the automation name in the Info box, then click “View”
  • Send a 1:1 email to any of the contacts by clicking the “Email” button
  • Add a deal, task, or note to any of these contacts by clicking the down caret next to the "Email" button

How to view all contacts that entered an automation from the Automation Builder

This option will display a list of contacts that entered your automation and is accessed directly from the Automation Builder. This list will include contacts currently in your automation and contacts that completed your automation.

Please note that this list will not show which contacts made a duplicate entry.

To get started with this method, follow these steps:

  1. From the Automations overview page, click "Edit" next to the automation for which you wish to view contacts.

  2. Click the “View Contacts” button on the screen's top right.

  3. A list of all contacts that entered your automation will be displayed:

From this page, you can:

How to view all contacts in an automation from Automation Reports

The Automation Report will display a list of all entries made by contacts. This list will include contacts currently in your automation and contacts that completed your automation, and duplicate entries will be displayed.

To open the Automation Reports, there are two methods:

  1. Click "Reports" on the left menu. Then click "Automations" in the navigational bar and select "All Automations."
  2. Click "Automations" on the left menu. Then click "All Automations" in the navigational bar under "Reports".

Once the Automation Report is open, follow these steps:

  1. Click the ellipsis just below the automation name to pull up its report.

  2. Click the "Automation Contacts" option located on the left side navigation menu.

    A list of all entries made by contacts for this automation will be displayed. This includes contacts that are currently in your automation and that have ended your automation.

    This list will not specify when an entry was made, or a contact completed the automation. However, the report will display the completion status (Complete or Incomplete) for each entry:

From this page, you can:

  • View total entries, completion rate, completion rate increase, and average completion time listed at the top of the page
  • View top-performing tags, lists, and completion times. You can click any of these options to filter entries
  • Export the list of contacts by clicking “Export”
  • Apply changes to one, some, or all contacts using the Bulk Editor by clicking the checkbox next to the contact(s) and clicking “Edit”
  • Click a contact’s name to view their contact profile page. To see their path in the automation, click the automation name in the Info box, then click “View”
  • Send a 1:1 email to any of the contacts by clicking the “Email” button
  • Add a Deal or Task to any of these contacts by clicking the down caret next to the "Email" button

How to see all contacts in an automation using an Advanced Search

With an advanced search, you can use different conditions to pull a list of contacts that:

  • Have entered your automation
    Includes contacts that are currently in your automation and contacts that ended your automation.
  • Have ended your automation
    Includes contacts that ended your automation.
  • Are currently in your automation
    Includes contacts that are currently moving through your automation.

This option uses the segment builder and is accessed from the Contacts overview page. With an advanced search, you can either save your search conditions for later, you can save them as a segment, or you make bulk changes to the contacts in the search results with the bulk editor.

To use this method, follow these steps:

  1. From the Contacts overview page, click the "Search contacts" field.

  2. Click the "Advanced Search" option.

  3. The segment builder will open. Click the condition dropdown and select "Actions."

  4. The "Actions" section will expand. Click an action to select it as a condition. In this example, we're going to choose "Has entered automation" so that we can search for contacts that are currently in an automation and contacts that have ended an automation.

  5. Click the value field to display a list of automations. Then select the automation you wish to use as a value.

  6. Click the entryway field to display a list of ways that a contact can enter the automation. Then select the option you wish to filter by. You can choose from "Any entryway," "Through a trigger," or "Through a non-trigger source."

  7. Click the "Search" button.

    The page will load a list of contacts that entered the automation.
