How to connect Calendly to your ActiveCampaign account

With ActiveCampaign's Calendly integration, you can connect your Calendly account to your ActiveCampaign account. Doing so will add and update contacts within ActiveCampaign whenever a meeting is booked in Calendly.

Take note

  • You will need an ActiveCampaign account (any plan level) and a Calendly account (Premium or Pro) to complete the setup
  • The setup is completed from your ActiveCampaign account
  • This integration will not add contacts directly to a list in ActiveCampaign. If you are using Calendly to collect contacts who opted into receiving your marketing communications, you’ll need to use the “Add to List” automation action to add them to your list
  • Only standard Calendly fields can be mapped to fields in ActiveCampaign. This includes: email, start time, end time, first name, last name, event name, event id, event kind, event duration, event created at, assigned to, location, text reminder number, time zone, invitee created at, is reschedule, payments
  • Calendly fields can only be mapped to existing fields in ActiveCampaign. To map Calendly fields to your ActiveCampaign account, you’ll need to first create them in ActiveCampaign. This integration will not create any new fields in your ActiveCampaign account
  • Calendly meeting dates can only be mapped to text fields in ActiveCampaign. It is not possible to map them to date-based fields in ActiveCampaign at this time.
  • You will not be able to use any date-based automation triggers with this integration
  • If a contact cancels or changes a booked meeting, the text field in your ActiveCampaign will automatically update with either the new meeting date and time (for changes) or by making the field blank (for cancellations)

Connect your Calendly account to ActiveCampaign

In this section, we’ll show you how to connect your Calendly account to your ActiveCampaign account.

1. From your ActiveCampaign account, click “Apps.” 

2. Use the search field on the top right of the “All Apps” page and search for Calendly.

3. Click the Calendly option to open it.

4. The Calendly app page will load. Click the “Connect Account” button.

5. The page will reload. You will be asked to provide the email address and password you use to log into your Calendly account.

6. Click the "Connect to Calendly" button.

You will be directed back to your Calendly apps page in your ActiveCampaign account. All of your Calendly meeting types will be listed on the page. From here you can choose to connect any Calendly meeting to your ActiveCampagin account.

Connect a Calendly meeting type to ActiveCampaign

Once you connect Calendly to ActiveCampaign, you can start connecting Calendly forms to your account and mapping fields. When a form is connected, customers who submit your Calendly form will be added and/or updated in your ActiveCampaign account. You can connect one, some, or all forms.

Syncing date and time information from Calendly to ActiveCampaign

It is not possible to map a date or time field from Calendly to a date field in ActiveCampaign. Instead, you'll need to map that information from Calendly to a text type field in ActiveCampaign.

1. From the Calendly apps page in your ActiveCampaign account, click the form name you wish to connect.

2. Click the Calendly dropdown field to map the email address field in Calendly to the email address field in ActiveCampaign. This step is required.

3. If you wish to map additional fields for this form, click "Add field mapping" and select the fields you wish to map.

4. When finished, click "Save."

The Calendly event is now connected to your ActiveCampaign account. It will have an Active status on the Calendly Connected Apps page.

The Calendly integration will also appear on the "Connected Apps" page in your ActiveCampaign account.

View synced contacts in ActiveCampaign

Contacts who submit a Calendly event will sync to your ActiveCampaign account right away. Contacts added to your ActiveCampaign account through this form submission will have two tags added to their profile:

  • calendly-integration
  • calendly-integration-[youreventname]

Calendly tags will remain on the contact record even if a contact cancels a meeting.

Form submissions from this integration will not add a site tracking cookie to contacts.

View form submission logs

Form submission logs in your ActiveCampaign account shows successful and failed submissions from your connected Calendly form(s). You can filter these logs by integration, account (Calendly account email), and type (all submissions or new submissions) by clicking the dropdown fields that appear at the top of the page.

To view the forms submission log:

1. Navigate to the Calendly app page in your ActiveCampaign account (click Apps > Connected Apps > Calendly).

2. Click the “View logs” button.

A modal window will open and will show you form submissions:

Information in the log includes:

  • Date and time the form was submitted
  • Integration name
  • Account
  • Status (Success or Failed)
  • Type (All or New submissions)
  • Details (form name)

Clicking the right caret next to the date for any form submission will display submission details. This can be used to troubleshoot submission errors.

Update field mapping

You can update field mapping for your connected forms at any time. Once field mapping is updated, all submissions moving forward will reflect the new mapping rules. It will not alter or change any fields for contacts who submitted the form before this update.

To update mapping for your form fields:

1. Navigate to the Calendly app page in your ActiveCampaign account (click Apps > Connected Apps > Calendly).

2. Click the form you wish to update.

3. Locate the field you wish to modify mapping for and use the dropdowns to update mapping.

4. Click “Save” when finished.

Disconnect a Calendly meeting

The "Remove" option at the top of the Field Mapping page in your ActiveCampaign account will disconnect your Calendly form. This means that your ActiveCampaign account will stop receiving data from submissions made to that form. You can always reconnect the event to your account in the future if you need to.

To disconnect an event:

1. Navigate to the Calendly app page in your account (click Apps > Connected Apps > Calendly).

2. Click the form you wish to stop receiving submission data from.

3. Click the "Remove" link on the top right of the page.

4. A confirmation modal will appear. Click “Remove.”

A confirmation message will appear letting you know that form has been successfully removed.

Future submissions made to this form will not sync to your ActiveCampaign account. In addition, the webhook generated for this form in Calendly will be removed from your Calendly account.

Disconnecting a form will not remove any previously synced data.

Disconnect your Calendly account from ActiveCampaign

You can disconnect your Calendly account from ActiveCampaign. Doing so means that:

  • The Calendly account will no longer be listed under "Connected Apps"
  • Data will no longer be transferred from your Calendly account to your ActiveCampaign account

Note that previously synced data will NOT be removed from your ActiveCampaign account.

To disconnect your Calendly account:

1. Navigate to the Calendly apps page in your ActiveCampaign account (click Apps > Connected Apps > Calendly).

2. Click the “Disconnect” button.

3. A “Disconnect Account” confirmation modal will appear. Click the “Disconnect” button in the modal.

The Calendly account will be disconnected from your ActiveCampaign account. You can reconnect the integration at any time and remap fields for forms you’d like to use.
