Manage contacts, runs and duplicates in an automation

Use Manage Contacts to review the contacts and runs in an automation without leaving the automation builder. The drawer brings search, filters, sorting, run history, and run actions into one workspace. You can also open the Contacts page when you need more search or segment options.

These controls help you investigate automation activity and choose which current runs should continue.

Take note

  • Manage Contacts shows contacts who have entered the automation
  • A contact can have more than one run when the automation allows repeat entry
  • Ending a run stops the contact from completing the remaining actions in that run
  • Review your selection before you confirm an action that ends runs

Open Manage Contacts

Open the drawer from the automation builder to see contacts across the automation.

  1. Click Automations on the left menu.
  2. Open the automation you want to review.
  3. Click Manage Contacts at the top of the automation builder.

The drawer shows an empty message when no contacts have entered the automation.

Review and filter contacts

The contact table shows the contact, their most recent entry and completion dates, and their current and total run counts. Use the column controls to sort by Contact, Entered, Completed, or run count in ascending or descending order.

Use the search field to find a specific contact. You can also use these controls:

  • Has duplicates shows contacts with more than one current run
  • Status filters contacts by Any, Currently In, Queued, or Completed
  • Last entry date filters contacts by when they last entered the automation
  • Last completion date filters contacts by when they last completed the automation

Click Open Contacts page when you need advanced search or segment conditions.

Review contacts at a Wait or Goal step

You can open a contact list for a specific Wait or Goal queue step. This view shows only the contacts at that step.

  1. Click the Wait or Goal queue step in the automation.
  2. Review, sort, or act on the contacts in the filtered drawer.

View a contact's automation runs

Use the run view to investigate the path a contact took through the automation. The available details depend on the contact's history and number of runs.

  1. Find the contact in the Manage Contacts drawer.
  2. Click View Run(s).
  3. Select a run when the contact has more than one.

The automation builder opens the contact's path for the selected run.

End a current run

You can end one run while leaving the contact's other runs active.

  1. Find the contact in the Manage Contacts drawer.
  2. Click View Run(s).
  3. Expand the run you want to stop.
  4. Click End Run.
  5. Review the confirmation, then confirm the action.

End all current runs for a contact

Use End Current Run(s) to stop every active run for one contact.

  1. Find the contact in the Manage Contacts drawer.
  2. Click the dropdown arrow next to View Run(s).
  3. Click End Current Run(s).
  4. Review the confirmation, then confirm the action.

Manage duplicate runs

When a contact has more than one current run, you can keep one run or end them all.

Review the contact's run history before you choose which duplicate run should continue.

  1. Turn on Has duplicates to find contacts with duplicate runs.
  2. Find the contact you want to update or select multiple contacts.
  3. Click the dropdown arrow next to View Run(s) and select Manage Duplicates. If you selected multiple contacts, select End Runs.
  4. Choose an option:
    • Keep newest keeps the most recent run and ends the other current runs
    • Keep first keeps the first run and ends the current runs that started later
    • End all ends every current run for the contact
  5. Review your choice, then confirm the action.
